Cancellation, Rescheduling, and Refund Policy

1. Scope and Legal Effect

1.1 This Policy governs all cancellations, rescheduling, refunds, credits, and transfers related to training courses, educational programs, certifications, workshops, simulations, conferences, and events organized or delivered by MedPro Extreme Co., Ltd.

1.2 This Policy forms an integral part of the Terms and Conditions of MedPro Extreme Co., Ltd.

1.3 By registering, making payment, or attending any course or event, the participant acknowledges and agrees to be legally bound by this Policy.

2. Definitions

2.1 “Participant” means any individual or organization registered for a course or event.

2.2 “Course” or “Event” means any training, program, conference, workshop, or educational activity offered by MedPro Extreme Co., Ltd.

2.3 “Training Start Date” means the official commencement date of the Course or Event.

2.4 “Course Fee” means the amount paid for registration, excluding third-party costs such as travel, accommodation, or insurance.

2.5 “Force Majeure Event” means any event beyond reasonable control, including but not limited to natural disasters, severe weather, flooding, landslides, epidemics, pandemics, government restrictions, civil unrest, or other unforeseeable circumstances.

3. Participant-Initiated Cancellation

3.1 All participant-initiated cancellations must be submitted in writing through official MedPro Extreme communication channels.

3.2 The effective date of cancellation shall be the date the written request is received by MedPro Extreme Co., Ltd.

3.3 Verbal notifications or informal messages shall not constitute valid cancellation.

4. Participant Cancellation Timelines and Options

4.1 Cancellation More Than Thirty (30) Days Prior to the Training Start Date

Participants may select one of the following options:

a. Refund of the Course Fee less a thirty percent (30%) administrative deduction
b. One hundred percent (100%) voucher for the same Course, valid for one (1) year
c. Seventy-five percent (75%) voucher applicable to other MedPro Extreme Courses, valid for one (1) year
d. Transfer of registration for the same Course to another individual or organization, subject to approval

4.2 Cancellation Fifteen (15) to Thirty (30) Days Prior to the Training Start Date

Participants may select one of the following options:

a. Refund of the Course Fee less a fifty percent (50%) administrative deduction
b. Eighty percent (80%) voucher for the same Course, valid for one (1) year
c. Fifty percent (50%) voucher applicable to other MedPro Extreme Courses, valid for one (1) year
d. Transfer of registration for the same Course to another individual or organization, subject to approval

4.3 Cancellation Less Than Ten (10) Days Prior to the Training Start Date

Participants may select one of the following options:

a. No cash refund
b. Twenty percent (20%) voucher for the same Course, valid for one (1) year
c. Ten percent (10%) voucher applicable to other MedPro Extreme Courses, valid for one (1) year
d. Transfer of registration for the same Course to another individual or organization, subject to approval

5. No-Show Policy

5.1 Failure to attend a Course or Event without prior written cancellation shall be deemed a no-show.

5.2 No refunds, vouchers, credits, or transfers shall be issued in the event of a no-show.

6. Course Cancellation by MedPro Extreme Due to Force Majeure

6.1 MedPro Extreme Co., Ltd. reserves the right to cancel or suspend a Course or Event where a Force Majeure Event affects safety, legality, or operational feasibility.

6.2 In such cases, the primary responsibility of MedPro Extreme Co., Ltd. shall be to protect participant safety and operational integrity.

6.3 Where a Course or Event is cancelled due to a Force Majeure Event:

a. Participants shall receive a voucher equal to the Course Fee paid
b. The voucher shall be valid for one (1) year from the date of issue
c. No cash refunds shall be issued
d. MedPro Extreme Co., Ltd. shall not be liable for travel, accommodation, lost income, or indirect costs

7. Course Cancellation by MedPro Extreme Due to Insufficient Enrollment

7.1 MedPro Extreme Co., Ltd. reserves the right to cancel a Course or Event where minimum enrollment requirements are not met.

7.2 Such cancellation shall not be considered a Force Majeure Event.

7.3 Where a Course or Event is cancelled solely due to insufficient participant enrollment:

a. Participants shall be entitled to a full refund of the Course Fee paid
b. Refunds shall be issued using the original payment method where possible
c. No administrative deductions shall apply
d. MedPro Extreme Co., Ltd. shall not be liable for travel, accommodation, or indirect costs

8. Course Rescheduling or Relocation by MedPro Extreme

8.1 Certain Courses depend on environmental, safety, or operational conditions.

8.2 Where conditions make it unsafe or impractical to proceed as scheduled, MedPro Extreme Co., Ltd. reserves the right to reschedule the Course or relocate it to ensure safe delivery.

8.3 In the event of rescheduling or relocation:

a. Original registration shall remain valid
b. Participants may accept the new date or location
c. A voucher for any cost difference may be issued, where applicable
d. No cash refunds shall be issued for cost differences

9. Transfer Conditions

9.1 Transfers are limited to the same Course only.

9.2 Transfers require written notification and prior approval.

9.3 MedPro Extreme Co., Ltd. reserves the right to refuse transfers that may affect safety, certification standards, instructor ratios, or regulatory compliance.

10. Voucher Terms

10.1 Vouchers are non-refundable and non-exchangeable for cash.

10.2 Vouchers must be used within the stated validity period.

10.3 Expired vouchers shall be deemed void.

11. Limitation of Liability

11.1 MedPro Extreme Co., Ltd. shall not be liable for any indirect, incidental, or consequential losses arising from cancellation, rescheduling, or participation.

12. Governing Law

12.1 This Policy shall be governed by and interpreted in accordance with the laws of Thailand.

13. Policy Authority and Amendments

13.1 MedPro Extreme Co., Ltd. reserves the right to amend, interpret, or enforce this Policy at its sole discretion.

13.2 The version published on the official website at the time of registration shall be the legally binding version.

14. Minimum Safety and Operational Threshold

14.1 MedPro Extreme Co., Ltd. reserves the right to determine whether minimum safety, staffing, equipment, instructor-to-participant ratio, venue suitability, or environmental thresholds are met.

14.2 Failure to meet any safety or operational threshold shall constitute valid grounds for cancellation, rescheduling, or relocation of the Course.

14.3 Decisions made under this section shall be final and non-contestable.

15. Certification and Third-Party Authority Disclaimer

15.1 Certain Courses are delivered under curricula, standards, or authorization from third-party organizations.

15.2 MedPro Extreme Co., Ltd. shall not be liable for cancellation, delay, or modification required by third-party governing bodies, certifying agencies, or accrediting institutions.

15.3 Where cancellation results from third-party requirements, participants shall receive remedies consistent with Section 6 or Section 7, as applicable.

16. Participant Eligibility and Disqualification

16.1 Participants must meet all stated prerequisites, medical requirements, fitness standards, and competency criteria.

16.2 MedPro Extreme Co., Ltd. reserves the right to deny participation, suspend, or remove a participant who fails to meet eligibility requirements or poses a safety risk.

16.3 Removal or disqualification under this section shall not entitle the participant to any refund, voucher, or compensation.

17. Voluntary Withdrawal During Training

17.1 Voluntary withdrawal by a participant after commencement of the Course shall not be eligible for refund, credit, voucher, or transfer.

17.2 Withdrawal due to personal reasons, injury, illness, fear, fatigue, or failure to meet performance standards shall be considered voluntary.

18. Medical and Fitness Responsibility

18.1 Participants are solely responsible for assessing their medical fitness and suitability for participation.

18.2 MedPro Extreme Co., Ltd. does not guarantee medical clearance or suitability.

18.3 Medical disqualification or inability to continue training shall not entitle the participant to any refund or credit.

19. Insurance Responsibility

19.1 Participants are responsible for obtaining adequate personal insurance, including health, accident, travel, and evacuation insurance.

19.2 MedPro Extreme Co., Ltd. shall not be liable for uninsured losses.

20. Communication Responsibility

20.1 Participants are responsible for monitoring official communications related to scheduling, safety updates, and policy changes.

20.2 Failure to receive or review communications shall not exempt participants from this Policy.

21. Severability

21.1 If any provision of this Policy is held to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

22. Entire Agreement

22.1 This Policy, together with the Terms and Conditions and related policies, constitutes the entire agreement between the participant and MedPro Extreme Co., Ltd.

22.2 No verbal representations or external statements shall modify this Policy.

23. Language and Interpretation

23.1 In the event of translation, the English version shall prevail.

23.2 Headings are for convenience only and shall not affect interpretation.

24. Jurisdiction and Venue

24.1 Any dispute arising under this Policy shall be subject to the exclusive jurisdiction of the courts of Thailand.

25. Acknowledgment and Acceptance

25.1 Registration, payment, attendance, or participation constitutes acknowledgment, acceptance, and agreement to this Policy in full.
